Job Summary

We are seeking an experienced Executive Assistant to join our team. The successful candidate will provide high-level administrative support to our CEO and team members, ensuring seamless day-to-day operations and contributing to the growth and success of our company.

Key Responsibilities

  • Work closely with the CEO to prepare and submit government contracting documents, including RFPs and business certifications.
  • Set up and manage CRM systems, including HubSpot, to optimize organizational efficiency.
  • Implement service management software to streamline field, crew, office, and employee operations.
  • Manage contacts, resumes, references, and other essential documents.
  • Handle communication with potential clients and participate in networking activities.
  • Uphold the company's reputation by ensuring meticulous attention to detail in all tasks.
  • Set up a comprehensive phone system, including extensions and professional greetings.
  • Communicate with customers, understanding their needs and ensuring satisfaction.
  • Contribute to the creation of an employee handbook, focusing on PTO and sick leave policies.
  • Compile and organize employee reports.
  • Collaborate with virtual assistants to optimize efficiency in routine tasks.
  • Manage tasks and projects, and maintain proficiency in Asana and Microsoft Planner.

Requirements

  • Prior experience in a similar role as an Executive Assistant or related administrative position.
  • Proficiency in Microsoft 365 apps, including Word, Excel, and Planner.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Proficiency in using CRM tools, with experience in HubSpot being a plus.
  • Familiarity with government bidding processes and diverse business certifications.
  • Excellent written and verbal communication skills.
  • Ability to adapt and learn quickly, especially in government contracting procedures.

Work Schedule

Regular business hours, flexible from 9 AM to 6 PM EST.

Salary

$202.67 per hour.

Expected Hours

40 per week.
