Position Overview

Quick Turn Maintenance is seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our residential property remodel projects throughout Ventura County. This role will provide administrative and scheduling support to the Project Manager and Director of Operations, ensuring efficient coordination between clients, vendors, and field technicians. The ideal candidate is organized, proactive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

  • Administrative Support: Provide day-to-day administrative assistance to the Project Manager and Director of Operations, including data entry, document management, and correspondence.

  • Scheduling: Coordinate and maintain daily and weekly technician schedules; assist in organizing work orders and tracking project progress.

  • Documentation: Prepare, organize, and maintain project files, including estimates, invoices, and work order documentation.

  • Client & Vendor Communication: Act as a point of contact for incoming calls and emails, ensuring professional and timely communication with clients, vendors, and staff.

  • Invoicing & Estimates: Assist with preparing and issuing invoices, and help compile information needed for project estimates.

  • Reporting: Support the creation of status updates, spreadsheets, and reports for internal tracking and management review.

Qualifications

Experience:

  • 1–3 years of administrative or office support experience, preferably in a construction, property management, or remodeling environment.

Skills:

  • Strong organizational and multitasking abilities

  • Proficient with Microsoft Office and Google Workspace

  • Excellent written and verbal communication skills

  • Detail-oriented with strong follow-through

  • Comfortable managing multiple priorities and deadlines

  • Experience with scheduling or project management software is a plus

Education:

  • High school diploma required; college coursework or degree in business administration or a related field preferred.
