About the Role:

We are seeking an organized and detail-oriented Procurement & Administrative Coordinator to oversee purchase, payment processes, and contract-related tasks. This role involves managing procurement activities, ensuring compliance with financial and legal standards, and streamlining administrative operations.

The ideal candidate is proactive, analytical, and experienced in coordinating administrative and financial processes within a fast-paced environment.

Responsibilities:

  • Coordinate and manage purchase requests, ensuring alignment with company policies.
  • Source and evaluate suppliers to ensure quality and cost-efficiency.
  • Maintain accurate records of vendor agreements and purchase orders.
  • Oversee payment schedules and ensure timely processing of invoices.
  • Collaborate with the finance team to resolve payment discrepancies.
  • Ensure compliance with applicable tax regulations, including VAT and other required documentation.
  • Coordinate and monitor contract requests, ensuring timely follow-up with both the legal department and external vendors or service providers.
  • Ensure contracts comply with company policies and legal requirements.
  • Track contract renewals, expirations, and related deadlines.
  • Provide regular status updates to management on procurement and payment activities

Requirements:

  • Bachelor's degree in Business Administration, Finance, or a related field.
  • At least 2+ years of experience in procurement, payment processing, or contract management.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience with financial software or ERP systems (e.g., SAP, Oracle, or similar).
  • Familiarity with procurement tools and processes.

Soft Skills:

  • Exceptional organizational and multitasking abilities.
  • Strong attention to detail and a high level of accuracy.
  • Excellent communication and negotiation skills.
  • Problem-solving mindset with the ability to handle complex tasks efficiently.

Additional Skills:

  • Knowledge of tax regulations, including VAT and invoice requirements, is a plus.
  • Prior experience in vendor management is preferred.
