Position Summary

As the Executive Assistant to the CEO, you will play an essential role in keeping operations running efficiently. You will act as a trusted partner to the CEO, managing a variety of administrative, organizational, and operational tasks. This role requires someone who is detail-oriented, can track multiple projects simultaneously, and is capable of making decisions to help move initiatives forward.

You will be involved in everything from coordinating meetings, managing the CEO's inbox, preparing internal presentations, and ensuring projects stay on track.

Responsibilities


• Manage and Organize the CEO's Day-to-Day Tasks

Assist with keeping up with various responsibilities and ensure that all actions, meetings, and tasks are handled efficiently. This includes tracking project timelines, making sure deadlines are met, and proactively managing daily workflows.


• Coordinate Meetings and Appointments

Organize internal and external meetings, ensuring the CEO's schedule is optimized, while managing calendar conflicts and adjusting as needed. Prepare necessary materials, agenda items, and ensure that all relevant parties are informed.


• Project Tracking and Support

Stay on top of ongoing projects by keeping track of milestones, deadlines, and deliverables. Collaborate with other teams to ensure that progress is being made and provide updates to the CEO as necessary.


• Manage CEO's Inbox

Screen, prioritize, and manage the CEO's email inbox, ensuring that all urgent matters are flagged and addressed in a timely manner. Respond to emails when appropriate and delegate tasks to other team members as needed.


• Decision-Making and Problem-Solving

Support the CEO by making decisions when needed, utilizing your sound judgment and understanding of priorities. You'll need to manage multiple tasks and deadlines without getting overwhelmed.

Qualifications


• Strong Attention to Detail

Ability to manage complex schedules, review documents, and ensure accuracy in everything you do.


• Proficient in Google Sheets

Comfortable working with spreadsheets for tracking projects, managing tasks, and collaborating with various departments. Experience with other Google Workspace tools (Docs, Slides, etc.) is a plus.


• Excellent Communication Skills

Ability to communicate clearly, both verbally and in writing, with internal teams, external partners, and the CEO. Must be able to filter and relay key information succinctly.


• Proactive and Independent

Self-motivated, resourceful, and able to take initiative. Should anticipate needs and act without requiring constant direction.


• Experience in Executive Support

  • Previous experience as an executive assistant, personal assistant, or similar
