Join our Mexico City team as an Office Assistant & Receptionist. Be the backbone of smooth operations—supporting teams, managing customer care, office services, and overseeing our company car fleet and contracts

About the role

As an Office Assistant & Receptionist, you will ensure smooth day-to-day operations by managing reception duties, organising files, handling payments, and coordinating office services. You will also prepare reports and maintain supplies to keep the office running efficiently.

In addition, you will provide administrative support for travel arrangements, company car fleet management, insurance policies, and event logistics. Your role also includes delivering excellent customer care by answering calls, assisting visitors, and managing access to the building.

Key Responsibilities

  • Oversee reception, calls, office organisation, and supplier payments.
  • Coordinate travel bookings, car fleet administration, and insurance distribution.
  • Plan meetings and events, ensuring all logistics and materials are in place.
  • Provide customer care by managing queries, visitor access, and building support.
  • Collaborate with key departments such as Operations, Sales, Marketing, IT, HR, Legal and Finance

Please note that due to the nature of this role, you will be required to work on site at our Mexico City office.

You are comfortable working on-site in our Mexico City office and can adapt to changing priorities while maintaining accuracy and professionalism. Your ability to manage multiple tasks under pressure, combined with excellent communication skills, makes you a trusted point of contact for colleagues and visitors alike.

Essential Skills

  • English proficiency (minimum B1 level) and strong Microsoft Office knowledge.
  • Clear and effective written and verbal communication skills.
  • Excellent time management and ability to prioritise tasks efficiently.
  • Strong attention to detail and ability to work independently under pressure.
