About the Role

We are seeking a highly organized, proactive Operational Assistant to support both an AI advisory business and a professional speaking practice. This role combines administrative support, client coordination, research, travel management, and light marketing tasks. Ideal candidates excel at multitasking, communication, and maintaining smooth daily operations.

You'll manage calendars, help prepare proposals and contracts, coordinate travel, handle light bookkeeping, and assist with social media and general marketing support.

Responsibilities

Task & Workflow Management

  • Track and manage tasks, deadlines, and daily operations across two business areas.
  • Follow up with clients and ensure all action items are completed on time.
  • Prepare standard contracts, proposals, and documentation.

Client & Administrative Support

  • Manage email communication, scheduling, and client follow-ups.
  • Organize business information, files, and records.
  • Conduct research related to clients, industries, and speaking opportunities.

Travel & Calendar Coordination

  • Coordinate travel, accommodations, itineraries, and schedules.
  • Maintain calendar accuracy and manage time-sensitive engagements.

Light Bookkeeping

  • Assist with expense categorization, invoice tracking, and basic recordkeeping using QuickBooks Online.

Marketing Support

  • Assist with basic marketing tasks, including social media content coordination.
  • Create simple visual materials using Canva or PowerPoint.

Qualifications

  • Experience in executive assistant duties, administration, marketing support, or bookkeeping.
  • C2-level English proficiency (written and spoken).
  • Strong command of:
  • Microsoft Office
  • PowerPoint
  • Canva
  • QuickBooks Online
  • Ability to work independently and manage multiple priorities.
  • Highly organized, detail-oriented, and proactive.
  • Comfortable adopting new tools; AI familiarity is a plus.
  • Must be available to work aligned with Pacific Time (PT).

Preferred Skills

  • Experience supporting founders, executives, or consulting/speaking professionals.
  • Comfort working in a fast-paced, evolving environment.
  • Ability to proactively identify needs and recommend improvements.
  • Demonstrated ability to coordinate across multiple business areas.

Job Type: Full-time

Pay: $15, $17,000.00 per month
