Remote Virtual Assistant — Customer Service & Client Outreach

Salary: MX$15,000/month

Schedule: Monday–Friday, 9:00 AM – 5:00 PM PST

Work Environment: Professional remote work setting

Requirements: Computer + high-speed Wi-Fi

About the Role

We are seeking a reliable and customer-focused Remote Virtual Assistant (RVA) to support a growing painting business. This role centers on maintaining strong relationships with former clients through outbound and inbound calls, ensuring they feel valued, supported, and connected to the company.

In addition to customer outreach, the RVA will manage calendar scheduling, update client information across software systems, and maintain organized workflows inside Go High Level and other platforms. This is the ideal position for someone who is warm, organized, tech-savvy, and passionate about delivering excellent customer service.

Key Responsibilities

Client Communication & Customer Service

  • Make outbound check-in calls to former clients to see how they're doing, gather feedback, and maintain long-term relationships.
  • Receive inbound calls and provide friendly, helpful customer service at all times.
  • Ensure all communication is professional, personable, and aligned with the company's customer care standards.
  • Capture notes, client updates, and follow-up actions directly in Go High Level.

Scheduling & Calendar Coordination

  • Use Calendly to book consultations, follow-up appointments, or estimate visits.
  • Insert client information accurately and maintain organized scheduling workflows.
  • Confirm and communicate appointments when needed.

Go High Level CRM Management

  • Update client records, tags, and notes after every call.
  • Manage pipelines, tasks, and follow-up reminders.
  • Track customer satisfaction and maintain communication history.

Software & Workflow Support

  • Use Smart Chips / software management tools to store and organize customer information.
  • Maintain accurate and up-to-date data across all platforms.
  • Assist with other administrative tasks as needed to streamline operations.

Qualifications

  • Experience in customer service, call management, or client outreach roles.
  • Strong phone communication skills and a friendly, professional demeanor.
  • Familiarity with:
  • Go High Level (required)
  • Calendly
  • Smart Chips / CRM data management tools
  • Highly organized and detail-oriented with excellent follow-through.
  • Ability to handle both proactive outreach and reactive incoming calls.
  • Reliable, self-motivated, and able to work independently.
  • Stable internet connection and a quiet environment for calls.
