The Law Firm of Fatima Johnson, an Immigration firm located in Indianapolis, Indiana is seeking a full-time, experienced Intake Coordinator to join our team Ideal candidate must be able to present a friendly and professional first impression to clients and work with minimal supervision in a fast-paced environment.

Intake Coordinator Mission:

To qualify new and prospective clients by exercising the following:

  • Gather accurate up-to-date demographic information and accurately transfer that information to the computer software program.
  • Gather case information and accurately transfer that information to the computer software program.
  • Keep abreast of whether coworkers are in the office
  • Be aware of potential client needs.
  • Assist coworkers in a team environment.
  • Assist potential clients in a timely, knowledgeable, friendly, helpful manner.
  • Maintain and understand current computer system processes including but not limited to reporting and report review.
  • Accomplish daily and monthly set duties.

Daily Tasks/Responsibilities:

Initiate information gathering from clients – including but not limited to:

  • Verbally verify and accurately enter all demographic information.
  • Document referral sources
  • Identify other legal issues and select appropriate attorney who can help them
  • Pay careful attention to notes and alerts on accounts
  • Direct clients to the Zoom and telephonic conference calls
  • Communicate changes in information to the appropriate party
  • Follow appropriate workflows to enhance and ensure completeness.
  • Document any client communication in the appropriate notes field of the software.

General Functions:

  • Screen incoming calls and emails to the law firm
  • Review and record potential clients' concerns by phone and email
  • Schedule appointments between potential clients and legal staff
  • Process and file necessary paperwork from the client and legal staff
  • Coordinate schedules for clients, lawyers, and staff
  • Serve as a "friendly face" and "friendly voice" of the firm
  • Follow up with potential clients
  • Other duties as assigned

**This description is not exhaustive. Certain tasks will change from time to time, but the core functions listed above will remain the primary responsibilities.

Required:

  • Must be able to work weekdays Mon-Fri 8:30am – 5:30pm Eastern Standard Time (all year)
  • Must have a quiet space to work
  • Must be fluent in Spanish and English (native level English required)
  • Must have at least one year of experience in customer service
  • Must have 4 years of college or equivalent experience
  • Proficient in Microsoft Word, Excel, Outlook
  • Exceptional communication skills
  • Superior decision-making skills
  • Competency to serve clients from a variety of cultures

· Bring Your Own Device (BYOD) Program - must be able to provide your own equipment and set-up your own workstation

o Secured home internet access (no Hotspots) through modem or router; Preferred hard-wired connection through ethernet cable to modem

  • Reliable internet connection of at least 30 Mbps download and 10 Mbps upload
  • Windows desktop or laptop:
  • Windows 11
  • x64-based 2GHz processor
  • 8 GB RAM
  • 500 MB of free storage space
  • Headset required
  • Smartphone required

Preferred:

  • Sales Experience
  • Associates or Bachelor's degree in Sales/Marketing related field
  • Experience using Zoho
