Job DescriptionJoin our dynamic Financial Reporting team as a Lease Coordinator. You will play a pivotal role in managing Expeditors' global lease portfolio of over 400 leases, ensuring the accuracy and integrity of our lease data, and supporting both accounting and legal teams. Major Duties and Responsibilities
- Serve as the subject matter expert and 'super-user' for the CoStar Real Estate Manager system. Oversee permissions, security administration, and provide first-line support and training for users.
- Coordinate the remittance, abstraction, and quality assurance of lease documents. Ensure all lease and building records are current and accurate to support accounting and legal needs.
- Act as the primary contact for internal teams (Corporate Accounting, International Controllers, Real Estate group and legal department), third-party lease abstractors, and CoStar support. Communicate status updates and coordinate critical lease date notifications to global leaders.
- Prepare scheduled and ad hoc reports to analyze our facilities portfolio, lease terms and expenses. Support Financial reporting and Real Estate group needs with clear, timely insightful analysis.
- Define and refine procedures for database use, application configuration, and report design. Streamline lease processes and analysis using tools such as, Azure Dev Ops, Power Query and AI technology.
- Maintain a thorough understanding of Expeditors' lease abstraction guidelines and lease-related policies. Suggest and implement updates as appropriate.
- Provide exceptional support to internal and external stakeholders, ensuring timely resolution of inquiries and issues.
Essential Experience and Qualifications:
- Bachelor's degree in business, finance, accounting, real estate, or a related field from an accredited college or university.
- Fluent in English
- Strong knowledge of commercial real estate documents and the leasing process.
- High level of attention to detail and focus on accuracy.
- Excellent communication (verbal and written), organizational, and analytical skills.
- Proficiency in Microsoft Excel, Outlook, Word, and SharePoint.
- Experience with CoStar Real Estate Manager or similar lease database systems strongly preferred.
- Exceptional interpersonal skills—positive attitude, friendly, helpful, and responsive.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Preferred (Not Required) Experience:
- Experience in a corporate real estate or property management environment.
- Familiarity with process automation and data analysis tools (e.g., Power Query, Azure DevOps, PowerBI, AI-based solutions).
