Your Role

What You Will Do
- Answer phones locally and internationally (Clients and Gensler staff from other offices)
- Greet all visitors, helping and providing information as appropriate
- Monitor conference room schedule, booking and updating as necessary
- Order food meetings and/or events.
- Maintain the aesthetic appearance of the reception area (client-ready)
- Check office supplies (restock supply room as needed)
- Assist with building maintenance issues and requests
- Assist with handling FedEx, courier, and other delivery needs
- Coordinate errands as needed for the office
- Provide overall administrative support to the office and the business operations team, ensuring smooth day-to-day operations.

Your Qualifications
- Minimum of two years of administrative experience in a similar position
- Bilingual - English & Spanish
- Proficiency in Microsoft Office Suite - Word, Excel, PowerPoint
- Excellent communication skills, both verbal and written
- Strong attention to detail and organized
- Must be able to prioritize tasks and be able to perform several tasks simultaneously throughout the course of a workday.
