The role is for an **Administrative Associate**, who will provide support to both our **Billing/Accounting team during the week** and our **Logistics department during afternoons and weekends**. This dual position requires strong organizational skills, attention to detail, and the ability to work under pressure to meet deadlines.The position is **full-time**, with one day off potentially assigned during the week. The Administrative Associate will be responsible for ensuring accurate billing, maintaining account records, and providing real-time support to logistics operations, including shipment tracking, scheduling, and customer communication.**Responsibilities & Duties - Administrative**- Enter customer and account data from source documents within established time limits.- Create and issue customer invoices accurately and on time.- Collaborate with internal departments to ensure billing accuracy.- Maintain and organize accounts receivable and billing records.- Compile, verify, and sort information to prepare source data for entry and record-keeping. **Identify, investigate, and resolve errors, discrepancies, or irregularities.**:- Research and obtain missing or incomplete documentation.- Generate reports, store completed work in designated locations, and perform backup operations.- Maintain carrier packets and update the company database.- Record and monitor payments received.- Generate past-due customer reports and track outstanding invoices.- Conduct collection calls and manage correspondence with past-due accounts.- Support monthly and quarterly audits, reconciliations, and data clean-ups.- Respond promptly to information requests and retrieve relevant files.- Ensure confidentiality of sensitive company and customer information.- Comply with data integrity and security policies.**Responsibilities - Logistics (Weekend and/or Evening Shifts)**- Provide real-time tracking and tracing updates for shipments.- Enter, update, and manage customer orders across various logistics platforms.- Schedule, confirm, and follow up on pickup and delivery appointments.- Monitor driver status and report delays, incidents, or issues proactively.**Skills Required**:- Strong organizational skills and attention to detail.- High motivation, proactivity, and assertiveness.- Proficiency in Microsoft Office Suite, especially Excel.- Basic math competency and ability to analyze numerical data.- Strong analytical and problem-solving abilities.- Excellent written and verbal communication skills.- High degree of accuracy in data entry and record-keeping.**Requirements**:- Bachelor’s degree in Administration or related field (preferred).- Minimum 1 year of experience in billing/accounts receivable or administrative support.- Experience in logistics or transportation (preferred).- Proficiency in Microsoft Office (Excel, Word, Outlook). **English level B2 (intermediate-upper intermediate).**:- **Must have a personal computer/laptop and reliable high-speed internet connection (proof of capacity required).**:- Strong organizational skills, attention to detail, and ability to meet deadlines.- Availability to work rotating shifts, including evenings and weekends.**Shift & Schedule**- 48-hour workweek.- Rotation of shifts, including weekends and evenings.- Hybrid responsibilities combining Administrative and Logistics support.Tipo de puesto: Tiempo completoSueldo: $17,500.00 - $20,000.00 al mesBeneficios:- Descuentos y precios preferenciales- Seguro de gastos médicos- Trabajo desde casaPregunta(s) de postulación:- Disponibilidad para trabajar fines de semana?- Puede desarrollar la entrevista 100% en inglés?Escolaridad:- Licenciatura terminada (Deseable)Idioma:- Inglés (Obligatorio)Lugar de trabajo: remoto híbrido en Paseo de la amistad 7, 37766, Paseo Real, Gto.
