Executive Assistant to the CEO


The Executive Assistant will be an integral part of the team and will work closely with the professionals of the firm.

There is an expectation that the person in this position will be available after hours to assist for any last-minute items that may come up.

Due to the firm ́s current needs, the position will be in office, 5 days per week.

Primary Responsibilities:

Ø Manage and monitor the CEO ́s calendar, schedule his appointments and set up meetings.

Ø Organize and plan extensive travel arrangements, both international as well as domestic: hotel accommodations, air ground transportation, meal reservations and detailed itineraries - both personal and business-related

Ø Prepare expense reports

Ø Answer phones, often of a confidential and/or sensitive nature.

Ø Assisting with drafting and editing letters, presentations, and related documents

Ø Produce minutes of meetings

Ø When required, assist with photocopying, scanning and book binding as required,

Ø Maintain an efficient filing system to ensure reports, invoices, correspondence and financial documentation is maintained and readily available

Ø Provide assistance with local errands (meeting materials, post office, lunch, etc.)


Ø Maintain proper flow of information with investors, providers, bankers or other key persons or organization, with full knowledge of relevant interests.

Ø Track and maintain database of deal sources

Ø Help prepare presentations using Power Point.

Ø _Ad hoc _projects as needed

Requirements:

Ø Experience as an Executive Assistant

Ø Bachelor ́s degree

Ø High proficiency in oral and written English.

Skills:

Ø Ability to work independently and with mínimal supervision, proactive in approach

Ø 100% results oriented, not an order-taker

Ø Excellent written and verbal communication skills as well as stellar organization skills

Ø Must be skilled at scheduling, highly organized, and have a high attention to detail

Ø Client-service oriented with strong discretion and ability to deal with highly confidential information on a daily basis.

Ø Able to engage with people at all levels, likeable, and approachable. Ability to develop and leverage professional working relationships.

Ø Possess a team focused attitude with a demonstrated ability to work collaboratively with others

Ø Rather than process work tasks, able to understand intent and purpose of completing work
