This role is suitable for a dynamic, well organized and with strong interpersonal skills individual and who will help keep a well-functioning Sales regional agenda, while ensuring the high standards of Air Canada are maintained.
**Responsibilities**:
- Provide administrative assistance to Director Sales, including the direct handling of routine and confidential matters, i.e. agenda, follow ups, telephone, queries etc.
- Coordinate and/or prepare reports, agendas, other material for sales meetings, presentations as well as arranging travel requirements.
- Preparing minutes for meetings
- Coordinate several aspects of regional budgets.
- Prepare and manage correspondence including with high level authorities in the region.
- Coordinate customer relations case management.
- Manage vacation, attendance, schedules and personal files for entire region.
- Monitor monthly expense reports and reconciliation of expense accounts.
- Interface with Winnipeg Finance for all BCC/invoice related expenses.
- Maintain and replenish department supplies, while being accountable for expense control related to department budget.
- Key liaison for external vendors/suppliers.
- Maintain/update manuals and documents.
- Establish and maintain filing and follow-up system.
- Manage the correct functioning of the office in coordination with other departments.
- Support departmental required projects.
- Coordination of the employee recognition program
- Responsible to upkeep own job competencies and processes.
**Qualifications**
- Strong organizational skills; disciplined and self motivated.
- Excellent communication skills (oral and written) in Spanish and English, French will be highly regarded.
- Well developed interpersonal skills.
- High degree of diplomacy, discretion, maturity and judgment.
- Applicant must be flexible and willing to work extended hours on occasion; strong personal initiative and have the ability to work in a confidential capacity, with little or no supervision.
- Ability to work under pressure.
- Good knowledge of Word, Excel, PowerPoint, Outlook. AMADEUS GDS knowledge a plus.
