The Administrative Assistant supports to the President and Finance Director in the daily administrative duties such as attention to customers and clients, handling the Cisco IP Phone, handling general mail, keeping a record of the employees files, organizing files, organizing meetings, work processing software, arranging business trip as well as making bank transactions.
Key Responsibilities:
- Keep a record of the employees’ files and up-to-date the checklist documents such as Code of Corporate Conduct & Ethics and IT Security Access Policies Acknowledgment forms, status form, original agreements and Emergency Contact Information Form.
- Maintain top management updated customer files. Follow up the agreements and guarantees celebrated with different government entities and airport groups.
- Keep a record of the vacations and leave request forms of the staff, supporting with the leave request form the electronic data and the signed forms by the employees.
- Carry out secretarial and administrative duties like receiving and delivering correspondence, following up and keeping the record of delivery to the different areas of the company.
- Administration of the required services like cleaning, fumigation, printing of the fiscal folios, delivery services and destruction of paper.
Key Requirements:
- Excellent English level
- More than 4 years of experience in similar roles
- Good excel skills
- Keep a record of the fiscal folios. Validate the invoices of the delivery service suppliers.
- Collaborate in the business trips assigned by Presidency, Finance Direction and for the staff and visitors.
