The HR Services Representative II plays a crucial role in assisting employees by leveraging comprehensive knowledge of company benefits, HR policies, procedures, and programs while effectively communicating with colleagues within the HR Service Center.

Key Responsibilities:
  • Act as the primary point of contact for inquiries from current and former employees regarding HR policies and processes.
  • Maintain a thorough understanding of HR procedures to address customer inquiries.
  • Engage with employees through the HR Service Center.
  • Provide prompt and precise information to employees by clarifying issues, researching solutions, and escalating unresolved matters.
  • Notify Senior HR Service Members of any confusion or lack of information.
  • Collaborate closely with payroll and benefits departments, as well as HR subject matter experts, to resolve employee issues.
  • Ensure that each case is thoroughly resolved.
  • Utilize various HR systems, including Service Now, ADP, and Oracle Cloud, to address employee inquiries.
  • Document all communications within the HR Service Center's case management software.
  • Proactively identify opportunities for enhancing processes, policies, and procedures, and engage with Senior HR Service Members to implement necessary changes.
  • Maintain employee records (both manual and electronic), acting as a 'system administrator' for the HR system, ensuring accurate data entry and maintenance, conducting data audits, and generating regular and ad hoc reports as needed.
  • Administer essential HR processes, including onboarding and offboarding procedures, as well as contractual amendments such as remuneration changes, and prepare required documentation.
  • Assist HR team members and line managers in drafting offer letters, coordinating acceptances, tracking key activities, and managing the onboarding process.
  • Provide support for rewards administration related to various company benefits programs.
  • Ensure accurate and timely preparation of employee payroll data for the designated pay frequency (e.g., weekly, bi-weekly, monthly).
  • Offer internal and external audit support, including the collection and preparation of supporting documents.
  • Promote consistent content management across the HR Function on various internal HR tools.
  • Conduct all work in accordance with established HR Service Center standards.
  • Perform related tasks as assigned.
Qualifications:
  • High school diploma or GED required; degree preferred.
  • Minimum of 2 years of experience in a customer-facing role preferred, with familiarity in ServiceNow and HR practices.
  • Strong verbal and written communication skills.
  • Team-oriented individual.
  • Excellent listening abilities and the capacity to ask insightful questions, comprehend concerns, and address objections.
  • Must demonstrate a professional and approachable demeanor, capable of building rapport with employees through various communication channels.
  • Ability to independently implement an action plan following established policies and procedures.
  • Capable of effectively managing multiple priorities and adapting to changes in a fast-paced environment.
  • Proficient in assessing employee issues and applying the appropriate procedures, policies, or escalation points.
  • Quick learner with the ability to navigate new software efficiently.
  • Proficiency in English is essential; additional languages such as Portuguese are a plus.
