About this role

The Executive Assistant and Office Lead will provide high-level administrative support to the Mexico GM and Operations Director. This includes scheduling, travel management, financial record keeping, and coordination of meetings and conferences. The ideal candidate will have excellent organizational skills, be able to prioritize tasks, and have a customer-focused approach.

Key responsibilities

  • Schedule and organize complex activities such as meetings, travel, and department activities for all department members.
  • Maintain the calendar for designated staff.
  • Fulfill and supervise travel expense records for the office, the GM, and the operations director.
  • Establish, develop, maintain, and update the filing system for the Mexico office.
  • Organize and prioritize large volumes of information and calls.
  • Make travel/meeting arrangements.
  • Act as a liaison with other departments and outside agencies, including high-level staff such as CEOs and executive team leaders.
  • Handle confidential and non-routine information.
  • Create and design general correspondence, memos, charts, tables, business plans, etc.
  • Proofread copy for spelling, grammar, and layout, making appropriate changes.
  • Conserve General Manager's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications when required.
  • Maintain office supplies by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders, and verifying receipt of supplies.
  • Supervise cleaning personnel and eventual facilities workers.

Requirements
  • Bachelor's in administration or related field.
  • Bilingual English-Spanish.
  • A recognized qualification in office skills or administration, or a business-related degree.
  • 2+ years of providing high-level support.
