Executive Support Specialist

Job Title: Senior Administrative Assistant
Summary: The Senior Administrative Assistant plays a vital role in supporting the administrative needs of the Executive team. This position involves handling administrative tasks, ensuring seamless coordination and execution for the executive team.
Responsibilities:
- Administrative Support: Respond to inquiries from senior managers, assist with various administrative tasks, and provide support for translations between English and Spanish.
- Appointment Management: Organize and schedule appointments for internal and external parties, coordinate meetings and events, and manage calendars efficiently.
- Communication: Serve as the primary point of contact for internal and external clients, manage large MS Team meetings, and provide excellent written and verbal communication skills.
- Document and Report Preparation: Assist in preparing documents, presentations, and reports, manage revisions and proofreading documents, and provide support for translations.
- Travel Arrangements & Expense Reports: Book, confirm, and change domestic and international travel arrangements, support the procurement of Business Visas and travel documents, and submit and reconcile expense reports.
- Purchasing: Assist with vendor management, create purchase requisitions, and process invoices.
- Additional Duties: Undertake additional administrative duties and projects as assigned.
Qualifications:
- Experience: Minimum 5 years of experience as an Executive/Administrative Assistant or Office Manager/Assistant.
- Skills: Strong proficiency in Microsoft Office Suite, excellent time management skills, ability to prioritize effectively, demonstrated commitment to maintaining confidentiality, strong attention to detail, and adept problem-solving skills.
- Language: C2 level proficiency in Business English required; C1 preferred.
- Language: Multi-lingual capabilities (Spanish and English).
