Administrative Coordinator for International Operations

GALAIT, a leading telecommunications company in the Americas region, seeks an organized and proactive Bilingual Administrative Assistant to join our dynamic team.
We are looking for an individual with excellent oral and written communication skills in two languages, who can effectively manage multiple tasks simultaneously and possess strong knowledge of Microsoft Office and basic database software skills.
The successful candidate will be responsible for:
- Scheduling and coordinating calls with suppliers.
- Preparing estimates/quotes for clients, tracking invoicing and payment follow-ups, and preparing purchase orders for providers.
- Confirming shipping addresses with clients and suppliers, creating shipping labels, and coordinating transportation logistics.
- Inventory stock tracking and assisting the logistics staff.
- Searching and analyzing new partners in different locations, following up on reports delivered by field engineers, and assisting the services delivery staff.
- Working on the continuous improvement of our suppliers database and updating accurate records.
To be considered for this position, applicants must have:
- Bilingual (Spanish/English) language proficiency.
- Previous experience in administrative roles.
- Strong knowledge of Microsoft Office and basic database software skills.
- Organized, proactive, and capable of handling multiple tasks simultaneously.
- Attention to detail and customer-oriented.
