Overview

We are seeking a highly organized and bilingual Remote Office Assistant to support our administrative operations. The ideal candidate will be fluent in English and Haitian Creole, with a strong background in office management, clerical tasks, and customer service. This role offers an excellent opportunity to contribute to a dynamic team by providing exceptional support in a remote setting, ensuring smooth daily operations and effective communication across all levels of the organization. The successful applicant will demonstrate excellent organizational skills, proficiency in office software, and the ability to manage multiple responsibilities efficiently.

Responsibilities

  • Serve as the primary point of contact for incoming calls using multi-line phone systems, demonstrating professional phone etiquette and customer support skills.
  • Manage calendar appointments, schedule meetings, and coordinate events with precision using tools such as Google Workspace and Microsoft Office.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications.
  • Handle administrative tasks including invoicing, bookkeeping with QuickBooks, and maintaining organized digital files.
  • Provide front desk support remotely by responding promptly to inquiries via email or chat, ensuring excellent customer service at all times.
  • Assist with office management duties such as supply ordering, maintaining organizational systems, and supporting team members with personal assistant tasks when needed.
  • Support team collaboration by managing project timelines, tracking deadlines, and facilitating effective communication among staff members.

Experience

  • Proven experience in office administration or clerical roles within a professional environment.
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry tools.
  • Prior experience with multi-line phone systems and front desk or reception duties is highly desirable.
  • Familiarity with bookkeeping software such as QuickBooks or similar financial management tools.
  • Strong organizational skills with the ability to prioritize tasks effectively while managing multiple responsibilities simultaneously.
  • Excellent written and verbal communication skills in both English and Haitian Creole; knowledge of additional languages is a plus.
  • Previous experience supporting medical or dental offices, or roles involving calendar management and customer support is advantageous.
