Position: Intake Producer
Remote

Are you organized, great at communication, and a movies fan? As a _Intake producer_ at Ajax Creative, you will be responsible for managing the initial stages of our production process, ensuring that all incoming projects are accurately assessed and effectively coordinated. This role involves close collaboration with multiple teams to guarantee the highest level of service throughout the intake process.

**Key Responsibilities**
- Act as the first point of contact for incoming project requests and support clients in completing intake forms and documents.
- Track all inquiries, resolved issues, and agreed-upon solutions in an organized and efficient manner.
- Gather information from clients in a clear, concise, and confidential way.
- Assess client needs and determine the most appropriate level of service.
- Coordinate with multiple departments to schedule and organize project timelines and deliverables.
- Communicate clearly and effectively with clients, ensuring they are fully informed on their project status and options.
- Maintain a comprehensive and organized database of project-related information.
- Monitor and track all new project referrals and ensure accurate records are kept.
- Analyze data and prepare reports on key performance indicators (KPIs) such as client satisfaction rates and referral volumes.
- Identify opportunities for process and service improvements, and contribute feedback on workflow effectiveness.

**Qualifications**
- Previous experience as an intake specialist, producer, project manager, or in a similar customer service role in a creative industry
- Excellent communication skills, both oral and written in English
- Good organizational and time-management abilities.
- Strong attention to detail and data accuracy.
- Demonstrated adaptability, problem-solving, and analytical skills.
- Ability to work effectively both independently and in a team environment.
- Empathetic and professional demeanor, capable of building a supportive and positive rapport with clients.
- Experience with project management software a plus.
