Job Overview

As an Operations Support Specialist at Periphery Digital Inc., you will play a pivotal role in ensuring the seamless execution of account-related activities within our Accounts department. This dynamic position demands a unique blend of technical skills, communication expertise, and organizational acumen to drive operational efficiency and effectiveness.

Key Responsibilities
  • Critical Communication Bridge: Facilitate cohesive strategies between the Accounts team and media/digital teams, ensuring accurate billing and project coordination.
  • Project Status Updates: Maintain alignment between the Accounts and Project Management teams by providing timely updates on project statuses and progress, guaranteeing clear communication and realistic timelines.
  • Client Plan Management: Collaborate with the Accounts team to gather and finalize client plans, verifying their accuracy, aligning with client objectives, and coordinating with relevant teams for any necessary adjustments or confirmations prior to approval.
Operations and Administration
  • G Suite Tools Utilization: Leverage G Suite tools for efficient external interactions, including client communications, scheduling, and document management.
  • Data Confidentiality: Handle sensitive client information with discretion, adhering to company protocols and maintaining confidentiality.
  • Financial Transactions: Work closely with the Finance department to provide accurate and timely client billing information, updating pipeline/revenue forecasts as needed.
  • Task Management: Use ClickUp to manage tasks and projects efficiently, preventing bottlenecks and supporting the Accounts team in meeting deadlines.
  • Administrative Support: Organize meeting agendas for Account Managers, ensuring comprehensive and coherent updates.
  • Lead Support: Provide administrative support to the Accounts lead, assisting with various tasks for smooth day-to-day operations.
Reporting and Insights
  • Client Project Statuses: Assist Account Managers in maintaining up-to-date client project statuses, monitoring changes, and collecting client feedback.
  • Data Compilation: Collaborate across the Accounts, Media, and Digital teams to compile data and insights for detailed client project reports.
  • Actionable Insights: Analyze report data to extract actionable insights and communicate complex information effectively to both clients and internal teams.
Requirements
  • Exceptional Communication Skills: Proficient in conveying complex information clearly and concisely to diverse audiences, facilitating both internal coordination and external client interactions.
  • Digital Tool Proficiency: Advanced skills in G Suite and ClickUp, necessary for managing projects and tasks effectively, with the ability to quickly adapt to new digital tools and technologies for enhanced productivity.
  • Organizational Capabilities: Strong organizational capabilities and meticulous attention to detail, essential for managing deadlines, coordinating meetings, and ensuring accurate project management and client status updates.
  • Proactive Approach: Demonstrated ability to quickly grasp new concepts and technologies, coupled with strong critical thinking skills to solve problems and innovate solutions.
  • Industry Knowledge: Good understanding of digital media advertising and the ability to stay updated on industry trends, applying digital media knowledge effectively in client interactions.
