Key Responsibilities- Provide administrative support to two senior leaders, including calendar management, travel coordination, and expense reporting.
- Anticipate and proactively address the needs of the executives, assembling the necessary resources to solve problems.
- Plan, schedule, and coordinate meetings with internal and external stakeholders, ensuring seamless execution.
- Manage daily, weekly, and monthly calendars to maximize time effectiveness and minimize conflicts.
- Prepare and execute meetings, including presentation preparation, spreadsheet management, and other administrative tasks.
- Build and maintain relationships with customers, team members, and contacts, ensuring effective communication and prioritization.
- Coordinate All Hands meetings, including agenda development, slide creation, and presenter alignment.
- Lead and execute team events, socials, and offsite meetings, fostering a positive and inclusive work environment.
- Field incoming requests, exercising discretion and judgment when handling confidential information.
- Own and manage the rhythm of the business, ensuring meeting agendas align with business priorities and taking notes and following up on action items.
- Work cross-functionally to ensure efficient and clear communication between teams.
- Meet deadlines by maintaining an organized approach and prioritizing multiple work activities in a fast-paced environment.
- A minimum of 5+ years of experience as an Executive Assistant supporting multiple remote leaders.
- Excellent time management skills and attention to detail.
- Experience with building presentations in Google Slides.
- Flexibility working independently or partnering with various teams, with the ability to travel as needed (up to 10%).
- Proven ability to interact with senior team members, vendors, and leaders.
- Ability to be flexible in response to changing priorities and needs.
- Experience with an arrangement of schedules and logistics, at times, across multiple time zones, with expertise in productivity and collaboration tools such as Google Workspace, Slack, and Zoom.
- Ability to work on multiple projects, lead priorities, and accurately set expectations.
- Strong communication, planning, organizational, and analytical skills.
- Excellent verbal and written communication skills.
- Adaptable – demonstrated flexibility in the face of change.
- Organized – good time, space, and task management skills.
- Proactive – ability to foresee problems and prevent them by taking action.
