OTC Operations Lead

ROLE OBJECTIVE
The Global Supply Chain (GSC) is tasked with the financial execution of Accounts Receivable, Order to Cash (OTC), and Straight Through Processing (STP). As the OTC Functional Process Lead, your primary responsibility is to ensure that these operations are conducted according to established standards in the most efficient manner for your designated area. This role involves a continuous focus on deliverables and key performance indicators across the region and your area of responsibility. Key responsibilities include:
• Regularly monitoring performance management metrics on a daily and weekly basis.
• Addressing and taking corrective actions on any identified deviations.
• Developing a clear strategy to achieve best-in-class performance targets.
In your capacity as the functional process lead, you will also play a crucial role in ensuring adherence to standards and maintaining process compliance. Equally significant is your responsibility to challenge existing standards and explore ways to enhance process efficiency. As the Single Point of Contact (SPOC), you will be integral to the Finance Process Owner (FPO) and Key User community, supporting the evaluation and implementation of improvement initiatives.
KEY ACCOUNTABILITIES
PROCESS OPTIMIZATION & STANDARDIZATION
• Actively promote the standardization of processes across terminals and entities within your region, with a strong emphasis on end-to-end process optimization, including cross-functional collaboration.
• Identify opportunities for process improvements, including standardization, elimination, and automation of steps, while enhancing the quality of process outputs. Collaborate closely with Business Process Experts (BPEs) and peers to achieve standardization objectives.
• Ensure compliance with processes through regular Gemba walks and process confirmations. Identify gaps in processes and assist in bridging deviations from established standards.
• Ensure comprehensive work instructions (Level 4) are available for all process steps and are fit for purpose. Work proactively with BPEs to drive improvements.
• Lead or participate in continuous improvement initiatives (Kaizens) to enhance performance and close process gaps.
• Propose proactive improvements and efficiency enhancements to existing processes.
• Collaborate closely with FPOs and BPEs to implement new processes, standards, and improvement initiatives, ensuring proper documentation and approval for any exceptions to standard processes.
• Ensure that the execution team within your domain is adequately staffed and meets efficiency targets as set annually.
• Address ad hoc queries and requests from Terminal Heads of Finance.
• Review financial statements and clarify any concerns or queries from stakeholders regarding revenue.
• Provide justification for any gaps identified within the Intercompany Pricing (ICP) framework.
• Ensure adherence to data governance rules, assess impacts on local data, create local instructions and Standard Operating Procedures (SOPs), conduct process confirmations, and offer improvement suggestions.
• Responsible for submitting local exceptions related to data and ensuring proper cross-functional alignment.
PERFORMANCE MONITORING & COMPLIANCE
• Track operational metrics and Key Performance Indicators (KPIs) that reflect the success of your domain.
• Maximize the utilization of digital tools for performance reviews.
• Own the performance of process domains and take swift action in response to any risks of underperformance.
• Develop clear action plans and collaborate closely with the execution team to enhance operational metrics performance.
• Provide ongoing feedback to FPOs regarding potential gaps and risks in process execution.
• Ensure that internal controls and baseline controls are integrated into standard processes, with clear execution guidelines.
• Maintain a thorough understanding of group policies, guidelines, and control frameworks to ensure compliance.
• Establish a strategic agenda for the year focused on improving execution within your domain, aligned with the overall Finance Delivery Promise.
CHANGE MANAGEMENT
• Collaborate with the execution team to identify opportunities for process improvements and waste reduction, adhering to the WoW10 governance model. Promote best practice sharing within the process domain community.
• Engage process users to contribute to improvements through Kaizens and process confirmations, providing feedback to the respective domain FPO.
• Lead or participate in Kaizens to enhance performance and address process gaps.
• Test and implement any new changes to processes or systems as directed by FPOs.
• Actively participate as a Key User and engage in community discussions regarding process and systems improvements.
• Play a significant role in onboarding and training employees within your domain.
• Communicate and raise awareness of key changes within your area.
• Facilitate collaboration between functional process leads within the same domain, across other finance domains, and with other functions at the local level.
ESSENTIAL QUALIFICATIONS/SKILLS/EXPERIENCE
• A minimum of 5 to 7 years of experience in leadership roles within the OTC domain.
• Expert knowledge of executing processes at Levels 3 to 5, including process, data, and system levels.
• Strong stakeholder management and collaboration abilities.
• Composed and effective in change management, capable of addressing resistance with calmness and respect.
• Self-motivated individual comfortable with remote work.
• Proficient in English, with strong written and verbal communication, presentation, and facilitation skills.
Success in this role will require the ability to develop scalable approaches across geographic boundaries while fostering commitment through influence rather than formal authority.
