Job Title: Executive Assistant - Operations

Description:
We are seeking a detail-oriented and customer-focused Executive Assistant to support our Real Estate Photography and Videography Operations team.

Key Responsibilities:

  • Client Communication: Respond promptly to client inquiries, provide information about services and pricing, and handle client complaints with professionalism and empathy.
  • Appointment Scheduling: Schedule and confirm appointments for photography, videography, floor plans, and aerial drone sessions, coordinate with photographers and videographers, and manage appointment calendars.
  • Administrative Support: Prepare and send invoices to clients, maintain and update client records and transactions, and assist in report preparation.
  • Coordination and Logistics: Ensure photographers and videographers have necessary equipment and information for each assignment, monitor project timelines, and facilitate delivery of final photos and videos to clients.
  • Quality Assurance: Review client feedback, work with the team to improve service quality, and ensure all client deliverables meet company standards.
  • Team Collaboration: Work closely with the operations manager, photographers, and videographers to streamline processes, participate in team meetings, and assist in training new team members.


Qualifications:

  • Education: High school diploma or equivalent, Associate's or Bachelor's degree in Business Administration or a related field preferred.
  • Experience: Minimum of 2 years of customer service experience, preferably in real estate or photography-related industries.
  • Skills: Excellent communication and organizational skills, proficiency in Google Workspace and Microsoft Office Suite, and ability to work independently and as part of a team.
  • Key Attributes: Customer-oriented mindset, high level of accuracy and attention to detail, ability to handle stressful situations, proactive approach to problem-solving, and strong interpersonal skills.


Working Conditions:

This role is a standard office environment with remote work opportunities. Flexible working hours may be necessary to accommodate client schedules.
