We are seeking a highly skilled and experienced Office Manager to join our team at Apex Systems in Monterrey. As an Office Manager, you will be responsible for overseeing the overall front office activities, executive assistance, vendor relationships, purchasing requests, and facilities management for our Monterrey site.
Key Responsibilities:
- Oversee and manage the workspace, including maintenance, ticketing system, improvements, and workplace services.
- Partner with cross-functional teams to enhance workplace space utilization, experience, efficiency, and productivity.
- Ensure that facilities are a safe, ergonomic, and healthy place to work.
- Effectively manage day-to-day communication with the property manager and ensure ongoing follow-up to resolve any property management requirements.
- Handle and manage the relationship with external vendors while coordinating and overseeing office improvement projects.
- Manage service level agreements and performance reviews to optimize workplace services (e.g., cleaning, maintenance contractors, HVAC, etc.).
- Manage and optimize office services' spending, cost control, and expense reporting.
- Negotiate the purchase of office supplies, equipment, etc., for the entire staff in accordance with company purchasing policies and set budget.
- Organize company, fun, and community events, client visits, and other engagement activities.
- Support Sr. VP and Managing Director as executive assistant for agenda management, travel, expense, meetings, etc.
- Develop and manage office policies and procedures.
Requirements:
- 4+ years of experience working in facilities.
- 2+ years of experience as an executive assistant.
- Social personality with great communication skills and English fluency (both written and verbal).
- Proactive and problem solver.
- Experience in vendor and budget management.
- Great time management and prioritization skills.
- Solid experience with MS Office tools: Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to work on multiple tasks simultaneously, track status, and anticipate blockers and risks.
- Car owner.
