As a Senior Facilities Manager for the Regional Operations, you will play a pivotal role in delivering exceptional service to our internal stakeholders while ensuring that all properties comply with local, state, and federal regulations. We seek a proactive Senior Manager with a strong commitment to leading a diverse team of professionals dedicated to working collaboratively with clients, senior management, vendors, and other partners. In this position, you will engage directly with various business units and projects to create innovative work environments.

  • Oversee all facets of multiple commercial properties; this encompasses maintenance of buildings and grounds. Manage operating expenses, capital investments, and the overall financial performance of the property portfolio.
  • Possess a thorough understanding of real estate leases, contractual obligations, and vendor agreements; collaborate with legal advisors as necessary.
  • Drive the execution of both short-term and long-term Real Estate initiatives.
  • Manage relocation, consolidation, expansion, and construction projects as required.
  • Maintain a comprehensive inventory of annual service contracts and fixed assets for each location, coordinating with the tax department on asset transfers during relocations or closures.
  • Collaborate with the real estate project manager and space planner; participate in weekly construction meetings, assist in site selection to meet business needs, and ensure efficiency in space utilization. Identify and follow up on punch list items and monitor construction-related warranties.
  • Work closely with the internal planning team to assess space requirements as indicated by internal stakeholders. Review fit plans to ensure user needs are integrated and drawings are precise. Provide line managers the opportunity to review and comment on fit plans, ensuring feedback is obtained and approvals are confirmed.
  • Analyze employee growth trends and collaborate with the internal planning organization to allocate space according to business unit requirements.
  • Foster positive relationships with cross-functional teams including Projects, HR, Global IT, Security, Procurement, Lease Administration, and EHS.
  • Manage contractors, suppliers, and vendors to ensure the delivery of goods and services per contractual agreements, while monitoring invoice timelines and vendor payments. Ensure sourcing practices align with corporate guidelines, including the engagement of diverse suppliers.
  • Actively participate in Corporate Social Responsibility initiatives and promote Energy/Sustainability programs.
  • Engage in the Risk Management and Resiliency Program (RMRP).
  • Efficiently manage operations, capital budgets, and expenditures, including budget development aimed at optimizing costs while enhancing value; conduct financial reporting and operational analysis.
  • Lead, mentor, and supervise staff across multiple locations, including full-time employees and contractors.
  • Assess and communicate appropriate staffing levels required at various sites.
  • Clearly establish, communicate, and monitor the progress of team goals, objectives, and training.

Preferred qualifications:

  • Proven experience in commercial real estate multi-site leasing and facility management.
  • 8-10 years of management experience, preferably within a large organization. Prior experience in construction management is advantageous.
  • Bilingual proficiency is required - candidates must be able to read, write, and speak both Spanish and English.
  • A BA/BS degree or equivalent experience in Facilities Management, Business Administration, or a related field is preferred.
  • Professional certifications are a plus.
  • Strong written and verbal communication skills are essential.

This role is classified as Career Level - IC5.

You will be responsible for space planning, building management, and office services to ensure operational efficiency and optimal utilization of facilities and equipment within the designated geographic area.

As part of the facilities management team, you will oversee office services, facility management, and building-related services across multiple locations. You will handle the design, planning, construction, and maintenance of facilities and equipment. This includes planning, budgeting, and scheduling modifications to facilities, along with estimating costs related to equipment, labor, and materials. You will coordinate building space allocation and layout, as well as manage facility expansions. Regular updates on space planning and monthly reconciliation of facility expenses will be part of your responsibilities. You may also participate in various committees and task forces as needed.

You will assist in developing short, medium, and long-term plans to achieve strategic objectives, regularly interacting with senior management to ensure unit goals are met. Excellent communication skills, both verbal and written, are critical. Familiarity with email, Microsoft Office applications, and purchase order systems is essential. You should be prepared to act as an after-hours contact for facilities emergencies and be reachable via phone or pager. Travel may be required.
