Office Administrator and Financial Coordinator

Company Overview: Sequoia Connect is a leading provider of IT Services and technical recruiting solutions for global enterprises. We are seeking a dedicated Administrative Assistant to support our expanding operations.
Role Overview: The Management Operations Team is in search of a Bilingual Administrative Assistant who will play a pivotal role in enhancing our operational efficiency and supporting our teams.
Key Responsibilities:
- Generate and manage customer invoices, credit memos, and timely statements.
- Accurately post client payments and maintain the customer deposit register.
- Foster relationships with clients' finance teams to ensure seamless communication.
- Monitor client accounts and maintain a comprehensive collection log.
- Address customer inquiries regarding billing and service issues.
- Conduct daily collection calls and follow-up emails.
- Collaborate closely with Accounting Managers to uphold accuracy in billing and collections.
- Prepare and present weekly reports on accounts receivable status to management.
- Lead discussions with the Sales Team regarding delinquent accounts to facilitate payment collection.
- Inform management about accounts requiring write-off due to bad debt.
- Oversee payroll-related payments and manage incidences of personal and IMSS.
- Perform general office tasks including copying, faxing, filing, and correspondence management.
- Identify and report any issues related to facilities, staff, or clients.
- Handle accounts receivable and payable for multiple entities.
- Assist in preparing bank reconciliations supporting financial statements.
- Manage accounts payable transactions, including expense reimbursements and vendor payments.
- Input vendor invoices into accounting software accurately.
- Execute physical and electronic filing duties as per established protocols.
- Support office staff with various assigned tasks.
- Undertake additional responsibilities as directed by management.
Qualifications:
- Bachelor's degree in Accounting or a related field.
- A minimum of 6 months of relevant experience.
- Exceptional organizational skills with the ability to prioritize tasks effectively.
- Strong interpersonal skills to engage with personnel at all levels.
- Ability to work independently in a dynamic environment.
- High level of responsibility and integrity.
- Detail-oriented with a focus on improving operational efficiency.
- Proficient in Excel and G-Suite applications including Docs, Sheets, and Gmail.
- Strong clerical, problem-solving, and communication skills.
- Ability to collaborate effectively within a team.
- Friendly demeanor with strong written and verbal communication skills in English and Spanish.
Work Environment:
- Remote work flexibility with one day in the office per week.

- Advanced proficiency in English.
- Native proficiency in Spanish.
