Responsibilities
Administrative Support Manage the RVP’s calendar, including scheduling meetings, appointments, travel arrangements, others. Prepare and edit correspondence, reports presentations and other documents. This includes translation of documents (Spanish, English) from time to time. Handle incoming communications and ensure timely responses on behalf of the RVP. Coordinate, create several reports for the RVP and staff on key topics. Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up action items. Superb management of confidential and sensitive information Arrange conference calls and videos meetings, ensuring all technical aspects are address. Engage and provides feedback. Project Management: Assist in planning and executing regional projects and initiatives. Track progress on key projects and provide updates to the RVP and VP staff. Connects with other regional Executive assistants. Conduct research and compile data to support decision-making processes. Communication Liaison: Serve as the primary point of contact between the RVP, VP staff and other internal and external stakeholders. Ensure effective communication flow with the regional office and with other departments/functions. Travel and Event Planning: Coordinate travel arrangements, including booking flights, accommodations, transportation. Plan and organize regional events, conferences, and meeting, ensuring all logistical details are managed. Coordinate expense reports creation and submission and ensure timely reimbursement. Assist by pre-auditing expense report receipts prior submission to local controller(s) Support RVP Staff: Provide administrative support to RVP’s direct reports and functional directors and their teams as needed. Assist with on boarding new staff members in coordination with HR. Help organize team building activities remote and on-site. Facilitate collaboration and communication among RVPs staff.Your profile as Executive Regional VP Assistant :
Bachelor’s degree in business administration, Communications, or related field preferred. Minimum 5 years of experience in executive assistant role, preferably supporting SR Executives Exceptional organizational and time-management skills Strong written and verbal communication skills both English and Spanish Proficiency in Microsoft Office Suite and other relevant software Ability to manage sensitive and confidential information with discretion. Strong problem-solving skills and ability to anticipate needs. Professional demeanor and ability to interact with all levels of the organization.Key Competencies:
