Job Title: Executive Assistant to CEO

Location: Remote (Global)

Salary Range: Up to $2,500 USD

Work Schedule: Monday to Friday, 9:00 AM to 5:00 PM (Flexible)

Job Type: Independent Contractor

Position Overview:

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level support to our CEO. The ideal candidate will serve as a trusted right-hand person, assisting in all aspects of the CEO's personal and professional life to maximize productivity and ensure smooth operations.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the CEO, including calendar management, scheduling, expense filing, web research, and document management.
  • Task Prioritization: Prioritize tasks and projects to ensure the CEO's focus remains on high-impact, strategic activities.
  • Inbox Management: Proactively manage the CEO's inbox, emails, and other communications, ensuring correspondence is handled efficiently.
  • Communication: Act as a liaison and first point of contact for the CEO, screening and prioritizing communications from internal and external stakeholders.
  • Travel Planning: Organize and manage all aspects of travel, including flights, transportation, accommodations, itineraries, and travel documentation.
  • Personal Support: Assist with personal tasks such as managing household staff, scheduling appointments, and paying vendors.
  • Project Management: Oversee and contribute to projects as directed by the CEO, ensuring team accountability and timely delivery.
  • Meeting Organization: Attend meetings with the CEO, take notes, and manage follow-up actions and steps with the team.
  • Process Optimization: Develop Standard Operating Procedures (SOPs) and suggest opportunities to improve efficiency and streamline workflows.
  • Research: Conduct research to support strategic decision-making and stay informed on industry trends.

Qualifications:

  • Minimum of 5+ years of experience as an Executive Assistant at C-Level.
  • Fluent in English with excellent written and verbal communication skills.
  • Exceptional organizational and planning abilities with strong attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Excellent interpersonal skills and emotional intelligence to build relationships with various stakeholders.
  • Discretion and sound judgment in handling sensitive and confidential information.
  • Proactive problem-solving skills and resourcefulness.
  • Strong ability to learn quickly, take initiative, and work independently.
  • Proficiency in Microsoft Office, Google Suite, and experience with project management tools like Clickup, Notion, or similar.
