Job Summary

We are seeking an experienced Executive Assistant to support our VP of Global Renewals and the VP of Global Services. The successful candidate will provide administrative support, manage calendars, coordinate travel, and handle various tasks to ensure the smooth operation of our Renewals team.

Key Responsibilities

  • Provide administrative support to two VP-level executives, including time management, travel coordination, and meeting organization.
  • Anticipate and proactively address the executives' needs, assembling the necessary resources to solve problems.
  • Manage daily, weekly, and monthly calendars to optimize time effectiveness and prevent conflicts.
  • Support the preparation and execution of meetings, including presentation preparation, spreadsheet management, and other tasks.
  • Build and maintain relationships with customers, team members, and contacts.
  • Manage contacts for executive partners, prioritizing communication and tracking interactions.
  • Coordinate All Hands meetings, including collecting topics, confirming agendas, building slides, and managing logistics.
  • Lead and execute team events, socials, and offsite meetings.
  • Field incoming requests, exercising discretion and judgment when handling confidential information.
  • Partner with the leadership team to ensure meeting agendas align with business priorities, taking notes and following up on action items.
  • Work cross-functionally to maintain efficient communication between teams.
  • Meet deadlines by maintaining an organized approach and prioritizing tasks in a fast-paced environment.
  • Collaborate with cross-functional Administrative & Executive Assistants and provide backup for vacation or illness.

Requirements

  • Minimum 5+ years of experience as an Executive Assistant supporting multiple remote leaders.
  • Excellent time management skills and attention to detail.
  • Experience with building presentations in Google Slides.
  • Flexibility to work independently or partner with various teams, with occasional travel (up to 10%).
  • Proven ability to interact with senior team members, vendors, and leaders.
  • Ability to adapt to changing priorities and needs.
  • Experience with productivity and collaboration tools, such as Google Workspace, Slack, and Zoom.
  • Strong communication, planning, organizational, and analytical skills.
  • Excellent verbal and written communication skills.
  • Bonus experience in running reports, exporting data into Google Sheets, and project management.

Okta, Inc. Offers

  • Competitive annual base salary range: $93,000 - $139,000 USD (California, Colorado, New York, and Washington) or $104,000 - $156,000 USD (San Francisco Bay Area).
