About the Role
We're a U.S.-based digital marketing and automation company seeking a tech-savvy Executive Assistant who thrives in fast-paced, system-driven environments.
You'll work directly with ownership and leadership, helping manage daily operations, organize projects, and oversee CRM and automation tools - especially GoHighLevel (GHL).
This role requires a strong balance of executive support, operational coordination, and technical ability. The ideal candidate understands how tech tools connect, can manage multiple priorities, and is confident troubleshooting and improving processes.
If you're highly organized, detail-oriented, and have hands-on experience with GHL, automations, proxies, IPs, APIs, and integrations, this role is for you.
Key Responsibilities
Executive & Operations Support
- Assist ownership with daily tasks, scheduling, and communication follow-ups
- Organize projects, tasks, and workflows across departments (sales, operations, automation)
- Track deadlines and ensure projects move forward efficiently
- Prepare reports and summaries for key initiatives
GHL Management & Optimization
- Build, manage, and troubleshoot GHL workflows, triggers, and automations
- Configure pipelines, forms, calendars, and call tracking
- Manage Twilio settings, phone numbers, and SMS delivery logic
- Set up and optimize email, SMS, and voicemail campaigns
- Create dashboards, reports, and KPI summaries for leadership
Technical Coordination
- Work with integrations through Zapier, Make (Integromat), and APIs
- Manage systems that use proxies, IP rotation, and multi-account logins (for marketing tools or outreach systems)
- Collaborate with developers or automation staff to implement new processes
- Test and document automations to ensure reliability and accuracy
Content & Communication Support
- Assist with internal documentation, SOP creation, and light content coordination
- Support leadership with outreach, templates, and brand-aligned communication
Requirements
- 3+ years of experience in executive assistance, operations, or tech/marketing support
- Advanced English (spoken and written – you'll communicate directly with leadership)
- Proven experience with GoHighLevel (GHL) – workflows, automations, CRM setup, and reporting
- Solid understanding of APIs, webhooks, proxies, IPs, and integrations
- Familiarity with Zapier, Make, Twilio, or similar connection tools
- Excellent organizational skills and proactive communication
- Ability to work full-time during U.S. business hours
Nice to Have
- Experience with AI tools, automation systems, or CRM analytics
- Background in digital marketing, SaaS, or lead management environments
- Comfort with client communication and team coordination
- Knowledge of data privacy, access management, or reactivation workflows
