The Role
As our Retention & Lease Renewal Specialist, you'll own and strengthen the resident renewal experience across our portfolio. Your mission is simple: reduce turnover, increase renewals, and build resident trust through proactive communication, obstacle-solving, and consistent renewal execution.
You'll be the key connector between tenants and our operations teams—making sure residents feel heard and supported, while ensuring renewals are issued on time and at market-appropriate rents.
What You'll Do
You'll manage the renewal pipeline —identifying who is approaching renewal, reaching out early, handling concerns, and guiding residents through the process so they choose to stay.
This is a role for someone who is highly organized, empathetic, and relentless about follow-through.
Core Responsibilities
Tenant Retention Outreach
- Proactively call and communicate with residents 60–90 days before lease end.
- Build trust and rapport with tenants so they feel cared for, not "processed."
- Understand why a tenant might leave and identify the real obstacles (pricing, maintenance issues, communication gaps, etc.).
Problem-Solving + Obstacle Removal
- Act as the resident advocate internally—working with maintenance, repairs, and property management to resolve issues quickly.
- Track and escalate resident concerns to ensure they're addressed before renewal deadlines.
- Follow up consistently until problems are resolved and the tenant feels confident renewing.
Lease Renewal Execution
- Issue renewal offers on a consistent cadence with correct market rents (working within portfolio guidelines).
- Ensure renewal lease documents are accurate, complete, and sent through AppFolio.
- Track responses, follow up with non-responders, and manage renewals through signing.
Cross-Team Coordination
- Work closely with property managers, leasing, and operations teams to align on tenant health and building issues.
- Provide feedback loops: what residents are complaining about, what's driving move-outs, and what issues repeat across properties.
Reporting + Process Improvements
- Maintain a renewal tracker (offer dates, response status, renewal outcomes, reasons for non-renewal).
- Identify patterns and propose retention improvements—scripts, cadences, escalation playbooks, and resident engagement systems.

You're confident calling tenants daily, following up repeatedly, and navigating difficult conversations with tact and professionalism.
Operational Discipline
You can manage dozens (or hundreds) of renewals at a time with clean tracking, clear follow-up systems, and strong attention to detail.
Problem Solver
You don't stop at identifying the issue—you help solve it, coordinate the right teams, and close the loop.
Comfort With Systems
Experience with AppFolio (or similar property management software) is a plus. You can learn systems quickly and use them consistently.
