Order Entry and Customer Service Specialist

The Order Entry and Customer Service Specialist will be responsible for efficiently processing inbound sales orders in real-time, ensuring accuracy, completeness, and compliance with company policies and procedures. This role involves direct communication with external clients to clarify any order details, resolve discrepancies, and provide exceptional support throughout the order entry process.
**Key Responsibilities**:
- Enter sales orders accurately and promptly into the company's order management system.
- Verify order information, including product details, pricing, installation instructions, and customer billing information.
- Communicate proactively with external clients to clarify order specifications, resolve discrepancies, and address any concerns.
- Collaborate with other departments, such as inventory management and logistics, to ensure timely order fulfillment and delivery.
- Maintain organized records of all sales orders, correspondence, and related documentation.
- Assist in the resolution of customer inquiries or issues related to order status, install tracking, and product availability.
- Contribute to the continuous improvement of order entry processes and systems to enhance efficiency and accuracy.
- Adhere to company policies, procedures, and quality standards to ensure compliance and customer satisfaction.
- Provide general administrative support to the sales team as needed.
**Qualifications**:
- Bachelor's degree preferred.
- Proven experience in order entry, sales support, or customer service roles. At least 1-2 years required.
- Proficiency in using computer systems and software, including Microsoft Office and order management systems.
- Excellent verbal and written communication skills, with the ability to interact effectively with external clients and internal stakeholders.
- Strong attention to detail and accuracy in data entry and order processing.
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
- Problem-solving skills and a proactive approach to resolving issues and improving processes.
- Knowledge of sales and distribution processes, inventory management, and basic accounting principles is desirable.
- Availability to work flexible hours and occasional overtime as needed.
Pay: $15,000.00 - $17,000.00 per month
