About the RoleWe're looking for a highly skilled and organized individual to provide administrative support to our General Manager and the Business Center. As an Executive Administrative Assistant, you will be responsible for responding to guests and vendors, managing Elite status guests, and serving as a hotel ambassador for VIP guests.
Key Responsibilities- Respond to guests and vendors on behalf of the General Manager
- Manage Elite status guests with guestroom bookings and concierge services
- Serve as hotel ambassador for VIP guests
- Manage reservations for bookings made through the Executive office
- Draft cards for VIP guest arrivals
- Respond to guest concerns and recognition on behalf of the hotel
- Compile monthly guest comment analysis (Medallia) and ensure proper distribution of results
- Assist in compiling KPI's of RVP hotels on a monthly basis
- Handle travel arrangements and reservations for VIP guests
- Handle complaints in the absence of the General Manager and inform him/her as to action taken and follow up required
- Assist with Glitch follow up to guests on behalf of Executive Office
- Assist in walk throughs and document follow up's
- Develop and assist with presentations created by the Executive office
- Handle agenda for General Manager and ensure follow-up is being done
- Handle expense reports for General Manager
- Manage agenda for General Manager and coordinate calendar needs
- Assist in the Business Center when needed for breaks or meetings as well as the needs of the Sales Division
- Flexibility with hours and availability
- Be available to assist hotel operation during crunches or need periods
- Extensive knowledge of Microsoft Office, specifically Word and PowerPoint
- Educated in the use of proper English and grammar
- Strong verbal communication skills, both in person and via telephone
- Vast knowledge of local market including restaurants, destinations and venues
- Interpersonal skills with VIP guests
- Ability to maintain strict confidentiality
- Knowledge of front and back of house hotel operations
- Works well under pressure, multitasking, and team player
- Extreme attention to detail in all areas, organizational skills, and thinks strategically
