Executive Regional Vice President Assistant

Job Summary:
We are seeking a highly skilled and experienced Executive Regional Vice President Assistant to join our team at ZF Group. As a key member of our regional office, you will provide administrative support to our Regional Vice President and staff, ensuring seamless execution of daily operations and strategic initiatives.
Responsibilities:
- Administrative Support: Manage the RVP's calendar, schedule meetings, appointments, and travel arrangements. Prepare and edit correspondence, reports, and presentations. Handle incoming communications and ensure timely responses on behalf of the RVP.
- Meeting Coordination: Organize and coordinate meetings, prepare agendas, take minutes, and follow up on action items. Ensure confidentiality and sensitivity in managing information.
- Project Management: Assist in planning and executing regional projects and initiatives. Track progress and provide updates to the RVP and VP staff.
- Communication Liaison: Serve as the primary point of contact between the RVP, VP staff, and other internal and external stakeholders. Ensure effective communication flow within the regional office and with other departments.
- Travel and Event Planning: Coordinate travel arrangements, plan and organize regional events, conferences, and meetings. Ensure logistical details are managed.
- Support RVP Staff: Provide administrative support to the RVP's direct reports and functional directors as needed. Assist with onboarding new staff members and help organize team-building activities.
Requirements:
- Bachelor's degree in business administration, communications, or a related field preferred.
- Minimum 5 years of experience in an executive assistant role, preferably supporting senior executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills in English and Spanish.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to manage sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to anticipate needs.
- Professional demeanor and ability to interact with all levels of the organization.
