We're seeking a full-time onsite Administrative Support Specialist for General Management in Mexico. This role offers a new challenge and an opportunity to apply your managerial expertise in a cutting-edge field. You'll work alongside competent, dynamic, and friendly teammates, assisting the General Management team in shaping the backbone of our organization.
Your key responsibilities will include:
- Acting as the point of contact between the Top Management
- Undertaking tasks such as receiving calls, taking messages, and routing correspondence
- Maintaining professional and personal agenda, arranging meetings and appointments, and providing reminders
- Producing reports, presentations, and briefs
- Developing and carrying out an efficient documentation and filing system
- Travel management: Creating and end-to-end managing of all travels in relation with the travel agency and management of VISA processes and expense claims
- Invoice management: Suppliers creation, purchase orders creation, and follow-up with suppliers and accounting department with managing expenses
- Supporting logistics organization for Executive & HR seminars
- Maintaining records related to grievances, performance reviews, and disciplinary actions
- Maintaining computer system by updating and entering data/Creating and distributing documents
- Serving as a point of contact with benefit vendors/administrators
- Take charge of all Purchase Requests, Purchase Orders including managing external vendor queries

- 5+ years of related experience as an executive administrative assistant, senior executive assistant, or in another secretarial position
- Proficiency in MS Office with expertise in Word, PowerPoint, and Excel
- Confirmed experience in verbal and written business correspondence in both local language and English
- Full comprehension of office management systems and procedures
- Excellent organization & planning capabilities
- Discretion and confidentiality
- Excellent problem-solving, critical thinking, and communication skills
- Proactive and efficient responses to pressing issues and challenges
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
In this role, you'll collaborate with transverse teams and helpful colleagues, working with a high level of autonomy to support management in administration and coordination tasks. You'll progress towards a deeper understanding of general management and leadership within the industry, steering your career in whatever direction you choose across functions and countries.
