Functional Description:

The Colleague Experience Group (CEG) within American Express is focused on providing a great colleague experience, every day. We do this by focusing on three strategic pillars, delivering a great colleague experience; growing the best talent; and developing new ways of working to unlock enterprise value. This role will support two teams on this CEG organization: the International Colleague Strategic Partners (Intl. CSP) team & Global Talent Acquisition (GTA) team. These teams operate with a simple premise that people are our most valuable resource.

As Executive Assistant to Vice President, Intl. CSP & GTA office in Mexico, you will be focused on colleagues based in Canada, US, Mexico, and Argentina leading and supporting workstreams that deliver market colleague priorities across Culture, Careers, Recruiting and Well-being.

Roles and Responsibilities:

Coordination of multiple calendar management, understanding meeting purpose, ensuring advance preparation and reviews of content, coordinating across senior business leaders, dispersed locations, and different time zones. Managing comprehensive agendas, logistics and delivery support for senior leader market visits. Arranging meeting rooms across different offices, video, and audio conferencing as well as coordinating team meetings, offsites, activities and other events. Booking international/Domestic travel with knowledge of Amex travel booking tools, preferred vendors, and associated policies. Build detailed itineraries and provide advance preparation for VPs. Ensuring timely preparation and processing of expense reports; reviewing expenses submitted to leader and highlighting any out of policy spend; tracking and processing of invoices. In conjunction with other Executive Assistants, organize and coordinate activities associated with Town Halls, and other employee-related activities and events. Ad hoc administrative tasks including Updating organization charts, updating distribution lists, updating PowerPoint documents and/or creating PowerPoint slides, updating/editing MS word documents, comfort with manipulating data and doing basic analysis. Organizing new team members’ onboarding, workstation, PC’s, office supplies Assisting with timekeeping and payroll duties Leadership role in creating strong connectivity with EAs across the broader team. Leveraging communication tools (SLACK, Webex) to collaborate and share best practices across teams based in multiple global locations. Basic project management skills to manage smaller projects and prepare decks for them with information that is already available. Ownership of engagement agenda for the immediate team and creation of learning forums for the team 

Skills and Qualifications:

Exceptional organizational and administrative skills Ability to work under pressure, to tight deadlines and with strong attention to detail and timely follow-up. Ability to manage multiple priorities, make sound decisions, and maintain discretion and confidentiality of sensitive information. Strong PC skills in MS Office applications (e.g. Word, PowerPoint, Excel) and Outlook. Excellent communication skills, both written and oral; strong relationship-building, interpersonal, influencing, and collaborating skills across multiple band levels. Fully trustable and able to manage confidential information. Flexible schedule preferred. Project Management Bilingual (Spanish and English)
