Position Overview:

CIMMYT is in search of a proactive, detail-oriented, and service-driven individual to fill the role of Legal Assistant to the General Counsel.

Key Responsibilities:

  • Deliver comprehensive daily assistance to the General Counsel across various responsibilities, including managing communications, drafting and preparing legal documents, maintaining confidential files, and overseeing special projects. Ensure all documents are accurate and compliant with legal standards.
  • Oversee complex calendar management, coordinating a dynamic schedule with frequent adjustments. Responsibilities include scheduling meetings, providing timely reminders, and conducting research to support decision-making.
  • Assist in the Contract Life Cycle Management, including drafting, reviewing, negotiating, and managing contracts and agreements with various entities.
  • Conduct contract management activities, including document verification, follow-up, and processing.
  • Manage administrative tasks such as processing expense reports, organizing travel arrangements, and documenting departmental activities.
  • Facilitate the implementation of tools and processes to enhance the efficiency of the Legal Department.
  • Prepare meeting agendas, record minutes, and ensure timely follow-up on action items.
  • Maintain a high level of support for stakeholders requiring data input and updates.
  • Participate in optimizing legal service processes and guidelines.
  • Perform additional related tasks as assigned by the supervisor.

Qualifications:

  • A bachelor's degree in law, administration, or a related field.
  • Minimum of five years of experience as an Executive Assistant in a law firm or similar environment.
  • Experience in a highly confidential executive-level setting.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
  • Strong communication skills in both oral and written forms.
  • Proficiency in English and Spanish, with a minimum C2 level as per CEFR.
  • Proficient in Microsoft Office and Adobe Acrobat, with a willingness to learn new software.
  • Demonstrated competencies in proactive problem-solving, teamwork, and time management.
