Position Overview:

CIMMYT is in search of a proactive, detail-oriented, and service-driven individual to fulfill the role of Legal Assistant to the General Counsel.

Key Responsibilities:

  • Deliver comprehensive daily assistance to the General Counsel, managing both internal and external communications, drafting and preparing legal documents, and maintaining organized confidential files.
  • Oversee complex calendar management, coordinating a dynamic schedule with frequent adjustments, ensuring all logistical aspects are arranged, and providing timely reminders for meetings.
  • Support the Contract Life Cycle Management by assisting in drafting, reviewing, negotiating, and managing contracts and agreements with various entities.
  • Engage in contract management activities, including document verification, follow-up, and processing.
  • Handle control desk activities, ensuring efficient assignment and processing of tickets.
  • Contribute to the enhancement of processes, practices, and guidelines to improve the efficiency of the legal team.
  • Assist in the implementation of tools to streamline workflow automation within the Legal Department.
  • Maintain and implement processes and best practices that ensure timely and accurate service delivery.
  • Prepare meeting agendas, record minutes, and ensure timely follow-up on action items.
  • Manage various administrative tasks, including processing expense reports, organizing travel arrangements, and documenting departmental activities.
  • Act as a liaison with Procurement for departmental service requests and supplies.
  • Monitor vehicle maintenance needs and manage related processes.
  • Assist in data management and the curation of agreements and document databases.
  • Support stakeholders in accessing and updating information efficiently.
  • Participate in optimizing legal service processes and guidelines.
  • Ensure proper tracking and follow-up of entrusted matters using provided dashboards and monitoring tools.
  • Perform additional related tasks as assigned by the supervisor.

Qualifications:

  • A bachelor's degree in law, administration, or a related field.
  • Minimum of five years of experience as an Executive Assistant in a law firm or similar environment.
  • Experience in a highly confidential executive-level setting.
  • Exceptional attention to detail, time management skills, and the ability to operate with urgency.
  • Excellent oral and written communication skills in both English and Spanish.
  • Strong organizational skills and the ability to work independently in a fast-paced environment.
  • High ethical standards and a commitment to confidentiality.
  • Proficiency in Microsoft Office and Adobe Acrobat, with a willingness to learn new software.
  • Demonstrated competencies in proactive communication, problem-solving, and teamwork.
