Project Coordinator Job Description

The Project Coordinator will play a vital role in ensuring the successful delivery of projects at Johnson Controls, Inc. This individual will work closely with the Project/Program Manager to provide essential support and assistance in planning, budgeting, and overseeing all aspects of the project.

Key Responsibilities:

  1. Collaborate with the Project Manager to deliver project goals and objectives.
  2. Monitor and report on project status, ensuring timely completion and budget adherence.
  3. Utilize project management methodologies, best practices, and tools to drive project success.
  4. Develop and maintain project presentations, reports, and documentation.
  5. Administer the project RAID log, ensuring updates and resolution of open items.
  6. Update project sites and tools, including Daptiv and SharePoint, with project team updates and deliverables.
  7. Ensure data quality and consistency in project tools and sites.
  8. Support the Project Manager with meeting coordination, minutes, and MS Project Plan updates.
  9. Manage project resources, including on-boarding and off-boarding.
  10. Process Statements of Work (SOWs) and Purchase Orders (POs).
  11. Request network and system access as needed.
  12. Track project spend and reconcile forecast and actuals against budget.
  13. Process vendor SOWs/Quotes and request POs.
  14. Provide finance with month-end accruals to ensure accurate financial recognition.
  15. Analyze project work to ensure correct Capex/Opex categorization.
  16. Assist with project financial management, including time reporting, invoices, and business cross charges.
  17. Support the PM with capital requests and route through the system.
  18. Reconcile the IT Daptiv system to business GL on a monthly basis.

Requirements:

  1. Ability to gather and address business and technical requirements.
  2. Bachelor's Degree in an IT-related field preferred.
  3. 1-3 years of relevant experience, preferably in a large globally dispersed organization.
  4. Strong communication, analytic, and critical thinking skills; fluent in English.
  5. Ability to work collaboratively and across time zones.
  6. Experience with Daptiv and ERPs is a plus.
  7. Highly motivated, quick-learner/self-starter and independent.
  8. Demonstrated ability to oversee multiple projects, develop internal/external relationships, and establish cross-team partnerships.
  9. Strong problem-solving, decision-making, issue analysis, and resolution skills.
  10. Ability to work well in a fast-paced multicultural global work environment.
