Position Overview:

CIMMYT is looking for a proactive, self-driven, and service-oriented individual to fill the role of Legal Assistant. This position is essential for implementing and supporting the operational processes of the Legal Department.

Key Responsibilities:

  • Assist in the Contract Life Cycle Management, including drafting, reviewing, negotiating, amending, and managing contracts and agreements with various entities.
  • Conduct contract management tasks such as document reception, verification, follow-up, and preparation of signatures.
  • Manage control desk activities, including ticket assignment and processing.
  • Contribute to the development and implementation of processes, guidelines, and practices to enhance the efficiency of the legal team.
  • Support the deployment of tools that automate workflows within the Legal Department and its internal clients.
  • Maintain and implement processes and best practices to ensure timely and accurate service delivery for clients.
  • Prepare meeting agendas, take minutes, and ensure follow-up on action items.
  • Coordinate with Procurement for service requests and supply requisitions for the Department.
  • Monitor the maintenance and operational needs of vehicles assigned to the Department.
  • Assist in data management and the preparation of status reports integral to the Department.
  • Support the organization and curation of agreements and document databases.
  • Provide high-level support for stakeholders needing data input and updates.
  • Manage multiple tasks and projects efficiently.
  • Participate in the optimization of legal service processes and guidelines.
  • Ensure diligent follow-up on entrusted matters, utilizing dashboards and monitoring tools for progress updates.
  • Perform any additional tasks as assigned by the supervisor.

Qualifications:

  • A bachelor's degree in law, administration, or a related field is required.
  • A minimum of 3 years of experience in similar roles is preferred.
  • Proficiency in English and Spanish is essential, with a minimum C1 score on the CEFR scale.
  • Strong computer skills, particularly in Microsoft Office and Adobe Acrobat, with a willingness to learn new software.
  • Excellent organizational, writing, research, and communication skills, with the ability to convey legal concepts to non-legal stakeholders.
  • A strong sense of urgency and commitment to responsibilities and deadlines.
  • Demonstrated competencies in Proactivity, Communication, Problem-solving, Achievement Orientation, Flexibility, Multi-Cultural Awareness, Teamwork, Time Management, and Collaboration.
