Job Summary

The Administrative Assistant position at Marriott Vacations Worldwide is a dynamic role that requires strong organizational, communication, and interpersonal skills. As an integral member of the Senior Management Team, the Administrative Assistant will provide comprehensive support to the Vice President of Sales and Marketing, Mexico, and other leadership members.

Key Responsibilities

  • Maintain the Sales and Marketing VP's calendar, scheduling meetings, coordinating logistics, and managing schedule conflicts.
  • Answer phone calls, take messages, and respond to routine and non-routine inquiries.
  • Prepare general correspondences, memos, charts, reports, tables, graphs, and business plans.
  • Schedule meetings, travel, and department activities for the Senior Management Team and visitors from corporate offices.
  • Prepare meeting materials, agendas, presentations, files, schedules, and collateral.
  • Process expense reports, follow up on paperwork, and run daily reports as needed.
  • Prepare HR forms, track and schedule PMP and Talent Reviews for direct reports, and order equipment and office supplies.
  • Coordinate new offer letter packages and compensation plans with HR and Legal, and assist with special projects as needed.
  • Provide general administrative support to leadership on site, visitors, and Senior leadership from corporate offices.

Requirements

  • Minimum of two years' experience in a fast-paced professional office environment.
  • High school diploma or GED; or equivalent combination of education and experience.
  • Strong interpersonal skills to handle sensitive and confidential situations.
  • Ability to communicate and interact with individuals at all levels, within and outside the organization.
  • Excellent administrative, follow-up, and coordination skills.
  • Ability to work in a fast-paced environment with multiple competing tasks and demands.
  • Key competencies include customer service orientation, ethical and work standards, managing multiple priorities, follow-up, building business partnerships, and positive disposition.
