El Gerente de oficina es responsable de controlar el buen funcionamiento de las oficinas de Campari México, llevando a cabo tareas de administración de recursos y suministros de oficina, supervisar a personal operativo relacionado con la gestión de la oficina, garantizando que la oficina funcione de manera eficiente y sin problemas. Es responsable de velar por la aplicación de las normas generales de oficina, creando un buen ambiente de trabajo y asegurando una excelente comunicación en general, así como en términos de seguridad.

Misión/Objetivos

El Gerente de oficina es el punto de contacto para los empleados, la operación y los programas de oficinas. Coordinar las actividades de mantenimiento y reparación de cualquier desperfecto que ocurra en las instalaciones, proveeduría de materiales y equipos, mensajería y servicios generales, planificando y controlando las áreas componentes del servicio, a fin de satisfacer los requerimientos de los usuarios y garantizar las óptimas condiciones de las instalaciones de la Compañía.

Responsabilidades Principales y Actividades

Administración general de oficina Coordinar las labores de la Recepcion, Administrador de servicios generalesy personal de aseo de oficina. Contacto con la administradora, recepcionista y vigilantes del edificio, así como los contactos de WeWork en Ciudad de México y Monterrey. Administración y gestión de tarjetas de acceso y estacionamiento con el administrador del edificio Compromiso para comunicar, mejorar y hacer cumplir las políticas de seguridad en la oficina. Garantizar que se cuente con el mobiliario en óptimo funcionamiento, así como contar con stock sufiente para el llenado de las áreas de snack, bar y artículos de sanitarios. Programa el mantenimiento de rutina de todo el equipo de oficina y coordina los términos, condiciones y renovaciones del contrato de servicio. Administración y gestión del presupuesto del área, así como la operación de caja chica. Brindar soporte en casos especiales respecto a la coordinación de viajes a Arandas y al Aeropuerto de visitantes de otros países. Realización de reservaciones de hotel en Arandas, en el caso de visitas internacionales. Llevar el control de las salas de juntas para que estén disponibles, limpiar y apoyar con el coffee Break, comidas y eventos dentro de la oficina. Suministro de papelería y productos de limpieza asegurando que siempre haya existencia. Administra control de tarjetas para ingreso y salida de visitantes. Recibir a todos los visitantes y asegurarse de que sean recibidos con una cálida "bienvenida", realizar el registro de visitantes y canalizar al área correspondiente. Introducción de nuestra oficina a nuevos ingresos en donde se indiquen las diferentes áreas de oficina y políticas a seguir en cada uno de ellas. Entrega de contrarecibos, canalizar facturas de otros Deptos. Resguardo de documentos oficiales de la empresa. Realización de Ordenes de compra y alta de nuevos proveedores Soporte en eventos Realizar coordinación de eventos en salones para eventos de más de personas Coordinación con proveedores de comida para organización de comidas mensuales, desayunos quincenales y juntas especiales. Tr Asegurar que se cuenten con los insumos necesarios en actividades relacionadas con bar campari. Mensajería Llevar el control de los envíos de DHL para realizar la conciliación contra la factura cada días. Realización de Órdenes de Compra de DHL con desgloce por Ceco, seguimiento a envíos, alta de usuarios para todas las áreas y generación de las guias. Recibo y envío de mensajería y entrega a las áreas correspondientes

Relaciones Principales

Internas: Director General, Recursos Humanos y Camparistas en general.

Externas: Agencia de viajes y Hoteles CWT y algunos hoteles como AC MARRIOT en GDL, p roveedores Varios, administración del Edificio en GDL y administración de WeWork.

Experiencia Requerida

Experiencia mínima de 3-5 años en puesto similar, con equipo bajo su responsabilidad al menos 1 año.

Educación

Licenciatura en Administración, comunicación o afín, titulado.
