Executive Assistant to the Director General

Job SummaryWe are seeking a highly skilled and experienced Executive Assistant to support the Director General in their day-to-day activities. The successful candidate will be responsible for managing the Director General's calendar, coordinating travel arrangements, and providing administrative support to ensure the smooth operation of the Director General's office.
Key Responsibilities- Manage the Director General's calendar, scheduling meetings, appointments, and travel arrangements
- Coordinate the workflow and appointments of the Director General, ensuring efficient communication and effective time management
- Handle incoming communication, including phone calls and emails, with discretion and professionalism
- Ensure maximum efficiency and productivity in the Director General's office
- Schedule appointments, confirm meetings, and input data into relevant systems
- Follow up on meeting requests and prioritize tasks to balance availability and resources
- Adjust schedules as necessary to accommodate changes in priorities and deadlines
- Oversee planning of travel and manage different time zones and parallel meetings
- Maintain files and records with effective filing systems
- Maintain the highest level of confidentiality
- Organize and prepare for meetings, including gathering documents and logistical information
- Communicate objectives, agendas, and support documentation to relevant parties
- Bachelor's degree in business administration, international relations, or technical studies
- At least 5 years of experience working as an Executive Assistant to a Director General or General Manager
- Excellent organizational and interpersonal skills, with ability to liaise and negotiate with colleagues
- Experience in preparing relevant and timely management information, including visual aids
- Proficient in verbal and written communication, with ability to prepare charts, minutes, and official documents
- Advanced level in MS Office, with special emphasis on Outlook, Teams, Excel, PowerPoint, and Word
- Ability to work independently, prioritize tasks, and plan effectively
- Proactive and flexible, with ability to deal with conflicting priorities and deadlines
- Ability to work with diverse nationalities and cultures
- Advanced level of English (written and conversational), with minimum C1 CEFR score
- Competencies in critical thinking, teamwork, client orientation, problem-solving, decision-making, negotiation, and conflict resolution
